General Information

The World Stem Cell Summit Poster Forum Committee invites all registered attendees to present their work as part of the Stem Cell and Regenerative Medicine World Impact Poster Forum to be held at the World Stem Cell Summit, September 21-23, 2009, at the Baltimore Convention Center in Baltimore, Maryland. 

All abstracts must be submitted online using the submission form at WorldStemCellSummit.com. The deadline for submission is June 17th at 12:00 am EDT. 

Poster Forum Candidates:
Scientists and researchers; representatives of industry; stem cell research funding organizations and economic development officials; members of Institutional Review Boards and Stem Cell Research Oversight Committees; patient advocacy organizations, patients, and representatives of related not-for-profit organizations; government agencies related to public health, such as NIH, FDA, EMEA, CMS and their counterparts from around the globe; representatives from the insurance and finance industries; professors and students of medicine, physiology, biology, other relevant sciences, ethics, law, and other disciplines related to social implications; and practicing professionals.

Accepted posters will be viewable between 9:00am—7:00pm on Monday September 21st, 8:00am—7:00pm on Tuesday September 22nd, and 8:00—6:00pm Wednesday the 23rd.  Due to space limitations, we may be required to hold multiple poster viewing periods.  If this happens, we will provide you with the date and time for your poster setup and viewing session.  Unless we are required to assign posters to specific viewing sessions, poster setup will begin at 8:00am on Monday September 21.

*During the submission process you will be asked to set up a user name and password.  If you have already registered for the World Stem Cell Summit, enter the user name and password you generated during registration.  If you have not yet registered for the Summit, please remember/record this user name and password as it is required to complete registration at a later time.  As noted above, if your poster is accepted for presentation and you have not yet registered for the conference, you must register for the Summit in order to present your poster.  If your abstract is accepted for presentation, but you choose not to register for the Summit, your abstract will be published in the electronic compilation of abstracts that we will make available on the web site for the Summit.

Creating Your Abstract - top

A well-designed abstract summarizes your poster and covers each of the major elements contained in the poster. These include: the title of the poster (250 characters or less including punctuation); the problem or topic investigated; background and contextual information on that problem or topic; the hypothesis arising from studying the problem and background; the experimental or research procedures undertaken; observations and results of undertaking those procedures; and conclusions about the hypothesis based on the observations. These elements would apply to both scientific and social policy-oriented research. In template form, an abstract should thus follow the following contours and should not be longer than 3,000 characters (including punctuation and excluding the title).

Problem: Describe in one or two sentences the nature of the problem or topic
addressed by the poster.

Background: Provide in two or three sentences the context and significance of
the problem or topic.

Hypothesis: State in one or two sentences the hypothesis that the problem or
topic presents.

Research: Describe in three or four sentences the experimental or research
procedures undertaken to test the hypothesis.

Observations: Describe in two to four sentences the observations resulting from
undertaking the research procedures.

Conclusions: Describe in three to four sentences whether the observations
support acceptance or rejection of the hypothesis, the significance of accepting
or rejecting the hypothesis, and further research suggested by the results
obtained.

Rules for Abstract Submission - top

  1. Abstract submission deadline is June17th, 2009 at 12 am (EDT).  Abstracts must be submitted in English.  No late abstracts or abstracts in any language other than English will be accepted.
  2. Abstracts will only be accepted via online submission
  3. The poster abstract must summarize the poster to which it relates in the length of a 3,000 characters or less (including punctuation and excluding the title).
  4. The poster abstract title must be 250 characters or less (including punctuation).  The title should be carefully crafted to deliver the poster’s hypothesis and key message.
  5. Authors: For each lead author, list that author’s name, institutional/organizational/enterprise affiliations, contact information, and financial and related disclosures when completing the online submission form. The names of any co-authors should be listed.
  6. Authors may submit more than one abstract for presentation.
  7. There is no fee for abstract submission.  Nevertheless, you must be a registered attendee for the 2009 World Stem Cell Summit to present your poster if your abstract is accepted.  Register here.
  8. The organizers of the Summit reserve the right to reject for presentation any submitted abstract.
  9. Proofread abstracts carefully before final submission—no proof pages will be sent to authors.  Conformational email and all additional poster forum correspondences will be sent via email to the submitting author only.
  10. The presenter is responsible for all expenses associated with submission (other than operation of the submission site), registration for the Summit, travel and lodging, and presentation of the poster. 

Poster Specifications & Presentation Instructions - top

The following information will help you prepare your research so that you and your colleagues get the most benefit from your poster presentation.

What is a Poster Presentation?

A poster is a visual presentation of your research and/or insightful understanding of the stem cell
field. Use schematic diagrams, graphs, tables and other strategies to direct the visual attention of
the viewer, rather than explaining it using text as you would in a journal article.
   
What is the goal of a poster?
A poster is meant to capture the imagination and stimulate the inquisitiveness of the viewer by presenting one central problem or hypothesis, a response to the problem or a set of observations relating to the hypothesis, and a set of applicable “take home message” conclusions.  At one end of the spectrum, the conclusion may be a resolution of the problem or acceptance or rejection of the hypothesis; at the other end, the conclusion may be absence of resolution or indeterminate results.  At all points along this spectrum, suggestions for further research and observation are always helpful. 
 
The World Stem Cell Summit Poster Session will cover science, medicine, public health, ethics, law, education, advocacy, public policy, business, finance, and much more – serving to unite the stem cell community and foster the sharing of knowledge.  The poster session is an all-inclusive event.

What the poster requirements?
We recommend that you adopt the AO Standard of 1.189 meter tall by .841 meter wide as the dimensions for your poster.  But we recognize that in some cases posters need to be wider. The maximum space per poster is 4’x4.’  Also, please remember that when you provide handouts of your poster or related information, you should include your full contact information so participants can contact you further about your ideas after the conference. 

Title and Author:
The title of your poster presentation and your name should be made in very LARGE type so that viewers can easily see the subject matter of the poster and its author from a distance (at least1" lettering, or 36 point font). The title, author's name, and authors affiliation are usually placed at the top and in the center of the poster board.  The diagram below illustrates a typical poster layout.

Content:

Posters usually have a similar structure to a research paper or journal article: an abstract, introduction (i.e., brief rationale or review of relevant research), method section, results section, and a conclusion or summary.  You might also want to list key references.  If you poster is not research oriented, you may decide to use a different format, but breaking things down into clear sections with headings will help your colleagues understand your poster easily and quickly. In the busy and crowded environment of a poster session, most people do not have the ability to read and process long sections of text. Therefore, keep text to the bare essentials and stick to the most important ideas.  You can convey details via discussion when you are standing by your poster. 

What kind of tools do I need to print my poster and what formats and fonts should be used for a poster? 
Your institution or organization may have printing software and hardware that supports the preparation of posters.  If you have such access, you will probably be able to have a “.PDF” version of your poster readily converted into a poster.  Another alternative is to utilize the services of a local copy center.  To find such a center, use a search term like “poster printing” in your preferred Internet search engine.  To get further guidance on how to prepare posters, use a search term like “preparing posters”.  If all else fails, you can generate a mosaic of regular-sized or legal-sized sheets of paper that form a poster when fully pasted to an AO-sized sheet of poster paper.  If you have to go this route, you should use a large font, such as 36-point for section headings, and 24-point for text.  Font smaller than 18-point are not advised.  In all events, for graphic appeal, you should use color, underlines, boldface, boldface italics and the array of other font-related tools available on your word processor.  With color, muted tones  work better than loud.  

Set-Up and Poster Viewing:
Poster Set-Up will take place Monday, September 21, between 7:30am -9:00am.  All posters must be set up by this time.  Please see the World Stem Cell Summit Program for poster session viewing schedule. 
        
Accepted posters will be viewable between 9:00am—7:00pm on Monday September 21st, 8:00am—7:00pm on Tuesday September 22nd, and 8:00—6:00pm Wednesday the 23rd.  If more than 250 posters are accepted, you will be provided with the date for your poster setup and viewing due to space limitation.  Setup begins at 8:00am Monday morning.

Submission Agreement - top

Abstracts are considered official communications to the conference. Violation of the policies will result in the withdrawal of the involved abstract from any World Stem Cell Summit presentation and property. All authors and co-authors must comply with the following regulations:

1.  Attendance Requirement                                                                                               
To present a poster at the 2009 World Stem Cell Summit one or more presenting author(s)  must be register for the event.  Abstracts may be submitted and accepted before completing registration.                                                                                                                                                  

2. Prior Publication
Abstracts may be based on results that have been published at other conferences or in any journal nationally or internationally, wholly or in part, before submission to the 2009 World Stem Cell Summit. However, presenters must disclose past publishing.

3. Abstract Publication Policy
World Stem Cell Summit will publish accepted abstracts, including titles and authors in electronic formats before the meeting. Information contained in the abstracts will be available online for public viewing and in the meeting materials.

4. Conflict of Interest and Support Disclosure
World Stem Cell Summit requires presenters to disclose any sources of commercial support and whether they will be discussing any off-label uses of drugs. This information will be shared with attendees.

5. Identical Policy
Presentation material presented at the meeting must be substantively identical to that described in the abstract. In particular, the title, authorship, and content of the presentation at the meeting must match that in the abstract.

6. Presentation Limits
An individual may appear as the first (presenting) author of multiple abstracts. The first author should present the work at the meeting. No presentation may be given by an individual who is not an author on the abstract..

7. Abstract Titling
In the title of the abstract the phrase “stem cell” should be preceded by the species involved, i.e. “Mouse Adult Stem Cells.”

8. Full Disclosure of Information
Transparency is vital for the open sharing of information.  World Stem Cell Summit requires the full disclosure of identities of genes, proteins, active agents etc. in your presentation(s).

9. Policies and Principles
For scientific abstracts
: work presented in abstracts must conform with applicable policies and principles for experimental procedures and responsible scientific communication. The primary author is responsible for ensuring that work presented in the abstract is in accord with applicable guidelines.

10. Presentation Agreement Remuneration
I understand that I will receive no remuneration from World Stem Cell Summit, its organizers, agents and/or representatives for my participation other than that specified in writing by the Summit organizers.

11. Permission for Use of Name and Likeness
I hereby give the World Stem Cell Summit, its organizers, agents and representatives the right to use my name and likeness in promotional and other material published in relation to the meeting.

12. Permission for Publication of Material
I agree to grant the World Stem Cell Summit, its organizers, agents and representatives, one-time copyright for publication of material I may provide for inclusion in the proceedings for the conference. The copyright consists of any and all rights allowed by the copyright laws of the United States and all foreign countries. I understand that the proceedings, including my contribution, will be made available online and available to the general public. I understand that World Stem Cell Summit will hold the copyright for the proceedings and its contents. I understand that the copyright of the compilation of materials in the proceedings is not the same as the copyright of an individual item of material included in the proceedings. I understand that I am encouraged to include copyright notices as appropriate on all the materials I submit to World Stem Cell Summit for publication. I understand that World Stem Cell Summit takes no responsibility for registering my copyright and advises me to take all appropriate steps to do so. World Stem Cell Summit grants me the right to reprint my contribution in any publication. I affirm that my contribution contains no matter that is defamatory or is otherwise unlawful or invades individual privacy, or infringes on any proprietary right or statutory copyright. I affirm that my contribution is original with me or that I have obtained permission at my own expense from the copyright holder for publication and will submit documentation, showing permission for use, to World Stem Cell Summit at the time of submission of the materials to be distributed.

13. Indemnification Agreement
I agree to indemnify and hold harmless the World Stem Cell Summit, its organizers, agents and representatives should the material I present or provide for publication be determined to defame, libel or slander an individual or organization, violate the confidentiality of any individual or organization, or infringe on another's copyright.
